HR & Employment Policy

Employment expectations, entitlements, conduct, and procedures.

Purpose & Scope

This policy governs the employment relationship between Futureys and all full-time employees across IT, including software development, AI, cloud and DevOps, and Digital Marketing divisions. It defines expectations, entitlements, conduct standards, and procedures from the first day of employment.

The policy applies to permanent and contract staff at the Malabe branch office.

Recruitment & Onboarding

  • Vacancies are posted on the Futureys website and relevant job portals.
  • Candidates undergo CV screening, technical or skills assessment, and at least one structured interview.
  • Offer letters are issued in writing and must be countersigned before joining.
  • Background and reference checks may be conducted before final confirmation.
  • New employees receive orientation covering culture, tools, processes, and policies.
  • A buddy or mentor is assigned for the first 30 days.
  • Required accounts, equipment, and access credentials are provisioned on Day 1.
  • Probation period is 3 months for new hires, extendable to 6 months at management discretion.

Working Hours & Attendance

Standard Hours
Monday-Friday, 9:00 AM-6:00 PM, including 1 hour lunch.
Remote Work
Hybrid eligible after probation with a minimum 3 in-office days per week.
Overtime
Pre-approved overtime compensated at 1.5x hourly rate or time-off-in-lieu.
Attendance
Tracked via HR system; more than 3 unexplained absences per month triggers review.
Flexible Hours
Core hours 10 AM-4 PM available for senior IT staff with manager approval.

Leave Entitlements

Annual Leave
14 paid days per calendar year, accrued monthly from confirmation; up to 5 days may carry forward.
Sick Leave
10 paid days per year; medical certificate required for absences over 2 consecutive days.
Casual Leave
3 days per year for urgent personal matters.
Maternity Leave
84 paid days as per Sri Lanka Shop & Office Act.
Paternity Leave
5 paid days.
Bereavement Leave
3 days for immediate family; 1 day for extended family.
Study Leave
Up to 5 days per year for approved professional certifications.

Compensation & Benefits

  • Salaries are paid on the 25th of each month by bank transfer.
  • Annual salary reviews occur each January based on performance and market rates.
  • EPF contributions: 8% employee and 12% employer; ETF contribution: 3%, as per Sri Lankan law.
  • Performance bonus up to 15% of annual salary based on individual and company performance.
  • Referral bonus of LKR 15,000 for successful full-time employee referrals.
  • Professional development allowance of LKR 25,000 per year.
  • Group medical insurance covering employee and one dependent.
  • Internet allowance of LKR 2,500/month for remote working days.
  • Company-provided equipment for IT staff.

Code of Conduct and Security

  • Treat colleagues, clients, and stakeholders with respect and professionalism.
  • Maintain confidentiality of client data, project details, and company financials.
  • Represent Futureys positively in external communications, including social media.
  • Disclose external employment or business activities that may create conflicts of interest.
  • Use only approved devices and software for work tasks.
  • Do not share login credentials or access company systems on public networks without VPN.
  • Report suspected security breaches or data leaks immediately.
  • Do not store client source code or data on personal devices.

Performance, Discipline, and Exit

  • Quarterly check-ins occur between employee and direct manager.
  • Annual appraisal in December includes written feedback and goal setting.
  • Performance Improvement Plan duration is 60 days for employees not meeting expectations.
  • Progressive discipline: verbal warning, written warning, final written warning or suspension, then termination.
  • Gross misconduct may result in immediate termination without prior warnings.
  • Notice period is 1 month for staff under 2 years and 2 months for staff over 2 years.
  • Company equipment, access cards, and credentials must be returned on the last working day.
  • Full and final settlement is processed within 30 days.
  • Non-solicitation applies for 12 months post-exit; non-compete applies for 6 months in Sri Lanka.

Grievance Procedure and Contact

  • Raise concern informally with direct manager or HR within 10 business days.
  • If unresolved, submit a formal written grievance to the HR Director.
  • Formal hearing occurs within 14 days; decision communicated within 7 days.
  • Appeal to CEO within 7 days of decision if unsatisfied.
  • All grievances are treated confidentially. Victimisation for genuine grievances is a disciplinary offence.
